High-fives from a leading Emergency Department

Rostering is difficult enough. Managing the rosters at the third-busiest Emergency Department (ED) in NSW like Royal North Shore Hospital (RNS) in Sydney is even more challenging, where it is critical to get adequate staffing levels 24 hours per day, 365 days of the year, while also providing a fair and equitable distribution of shifts. Creating and managing these rosters manually can be a time-consuming and complex task. To address this challenge, HosPortal worked with the RNS ED leadership team to refine our software to cater for the department’s specific needs.

Collaborating for roster success

HosPortal’s technical and sales team worked closely with the hospital's administration team to understand the pain points and specific requirements. We then refined HosPortal’s leading self-rostering tools to cater for the particular needs of the Emergency Department and its JMO workforce.

Automating roster building

One of the key features of the HosPortal is its automation capabilities. By integrating payroll periods and award rules, HosPortal has significantly reduced administrative load and simplified the roster creation process. The system automatically generates rosters based on pre-defined rules, taking into account factors such as hours worked, rest periods, Staff FTE and shift preferences.

Enhanced ‘priority fill’

One notable enhancement was the implementation of a ‘priority fill’ feature. Because some rosters are more important to get right and higher priority than others, our auto-fill tools can now automatically assign people to shifts based on priority. Critical shifts are filled promptly and efficiently.

Satisfaction and speed

Turnaround time from the first face-to-face meeting until going live was only a few weeks. The ED was delighted.
